How periods work
Every month is one period. Finance → Periods shows each period with its Dates, Status (Open or Closed) and when it was closed. Nothing can post into a closed month. That keeps figures you have already reported from changing.
Months are closed in order, oldest first. Close period appears only on the earliest open month, and Reopen only on the latest closed month.
Before you close
- Close all register shifts for the month.
- Post or cancel draft supplier invoices dated in the month under Finance → Payables.
- Import and reconcile the bank statement under Finance → Bank.
- Clear Finance → Postings so no event is waiting.
- Look over the profit and loss and balance sheet for the month under Finance → Reports.
Close a month
- Open Finance → Periods and click Close period on the earliest open month.
- The close checklist runs straight away. Each item shows OK, Info, Warning or Blocked.
- Blocked items must be fixed first. Close the dialog, fix them, and open it again.
- Warnings can be accepted. Write in Close note why, and who reviewed the month.
- Click Close period. The checklist and your note are kept with the period.
What the checklist checks
Earlier periods closed (blocks): months must close in order.
Automatic postings complete (blocks): no business event is waiting under Finance → Postings.
Journal balanced (blocks): debits equal credits for the month. If this ever fails, contact support.
Supplier invoices posted (warning): no draft supplier invoice is dated in or before the month.
Bank statements reconciled (warning): every imported bank line up to the month end is matched or excluded.
Registers closed (warning): no register shift is still open.
Goods received not invoiced (info): the value of receipts still waiting for a supplier invoice.
Stock value agrees with the ledger (warning): the Inventory account equals the stock valuation, within 1.00. Checked for the current month.
Till differences this month (info): the net cash over or short.
Reopen a month
If a correction is needed, click Reopen on the latest closed month. Post the correction, clear any waiting events, then close it again with the checklist. To reopen an older month, reopen the later ones first.
A sale, bill or payroll run dated in a closed month is still saved, but its entry waits under Finance → Postings until the month is reopened.
