Stock adjustments and approval

Correct stock outside a count, write off damaged or stolen goods, and see how large adjustments go for approval.

Who can do this: Needs the Adjust stock permission (Tenant admin, Store manager and Inventory clerk by default). Approving needs the Approvals permission (Tenant admin by default), and the person who raised an adjustment can never approve it.

When to use an adjustment

Use an adjustment when stock changes for a reason that is not a sale, a purchase or a transfer. Each adjustment has a reason: Opening stock, Correction, Damage / write-off, Theft / loss or Other.

To check a whole shelf or store against what is really there, use a stock count instead. It works out the differences for you.

Create an adjustment

  1. Open Inventory → Adjustments and click New adjustment.
  2. Choose the Location and the Reason.
  3. Add a Note that explains what happened, for example 3 bottles broken in delivery.
  4. Add each item in Add a line: search product or SKU….
  5. Type the change in Qty change (±). Use a minus sign to take stock away, for example -3. Use a plain number to add stock.
  6. For Opening stock and Correction, you can also type a Unit cost.
  7. Click Save as draft.

Every line needs a quantity change that is not zero. If one is missing, a message tells you before anything is saved.

Post the adjustment

  1. Find the draft in the list. Its status is draft.
  2. Click Post, read the message and click Post again. Stock changes at once and the movement cannot be undone.
  3. If you do not want it, click Cancel and then Cancel draft.

Adjustments that need approval

Your administrator can set a limit for stock adjustments under Settings → Approvals. The value that counts is the quantity moved × cost. If the adjustment is at or above the limit, Post does not change stock yet. You see Sent for approval, and the status becomes pending approval.

An approver finds it in Approvals, checks it, and clicks Approve (the stock is then posted) or Reject with a note to send it back.

While it waits, you can click Withdraw to take it back. It returns to draft.

If no limit is set, adjustments post straight away.

Check an adjustment

Click any adjustment in the list to see its location, reason, note and lines, with the Qty change and Unit cost of each line. The posted changes also appear in Inventory → Movements.
