Stock counts (stocktaking)

Count what is really on the shelves, compare it with what Sevo expects, and post the differences in one step.

Who can do this: Needs the Count stock permission (Tenant admin, Store manager and Inventory clerk by default).

Why count

Over time, breakages, mistakes and theft make the real shelf different from the system. A stock count fixes that. You can count the whole store at month end, or just one aisle or one brand.

Open a count

  1. Open Inventory → Stock counts and click Open a count.
  2. Choose the Location.
  3. Add a Note so you can find it later, for example Month-end count, aisle 3.
  4. Click Open count. The count opens with the status open. If no location is chosen, the Location box asks you to choose one.

Count the items

  1. Click in Scan or search a product to add it to the count… and scan the item's barcode, or type its name or SKU and pick it.
  2. The item is added with its Expected quantity, which is what Sevo thinks is on hand.
  3. Type what you counted in the Counted box and press Enter. It is saved at once.
  4. The Variance column shows the difference. A minus figure means items are missing. A plus figure means you found more than expected.
  5. Repeat for every item. You can close the window and come back later: the count stays open.

Count when the shop is quiet or closed, so items are not sold while you are counting them.

Finish the count

  1. Check the lines with a large variance. Recount them if you are not sure.
  2. Click Complete & post corrections, then Complete & post. Each variance becomes a count correction movement, so stock on hand now matches what you counted.
  3. If the count was started by mistake, click Cancel count instead. Nothing changes.
