Stores and warehouses (locations)

Create a location for every place that holds stock, so each store has its own stock, counts and transfers.

Who can do this: Everyone with the View inventory permission can see locations. Creating and changing them needs the Adjust stock permission (Tenant admin, Store manager and Inventory clerk by default).

What a location is

A location is any place that holds stock: a shop or a back-store warehouse. If you have a shop in Kandy and a shop in Colombo, create two locations. If the Colombo shop has a separate storeroom that you want to count on its own, that can be a third location.

Stock, stock counts, adjustments and transfers all belong to a location.

Create a location

  1. Open Inventory → Locations and click New location.
  2. Type a short Code, for example MAIN or KANDY. It must be unique. It is printed on receipts and labels and shown in lists.
  3. Choose the Type: Store or Warehouse.
  4. Type the Name, for example Kandy Town Shop.
  5. Type the Address if you want it recorded.
  6. Click Create location.

Change or close a location

  1. Click a location in the list to change its details, then click Save changes.
  2. If a location closes, click Deactivate on its row. It shows as Inactive and is no longer offered when you pick a location for new work. Its history is kept.
  3. Click Activate to use it again.

Before you deactivate a location, move or write off the stock that is still there, so your stock value stays right.
