Currencies and exchange rates

Your base currency, and how to add exchange rates when you buy or sell in another currency.

Who can do this: Owners and administrators add and delete rates (Manage accounts). StoreManager and Accountant roles can view them.

The base currency

Your books are kept in one base currency. It is set from the country chosen when the company was created: for a Sri Lankan company that is LKR. Costs, stock values and reports are in the base currency.

Settings → Currencies & rates shows the base currency at the top, with how many currency pairs have rates.

When you need a rate

Add a rate when you deal in another currency, for example a supplier who invoices in USD. Each document remembers the rate it used, so later changes do not alter old documents.

Until you add a rate, goods from a foreign-currency supplier can still be received, but you must type the rate on the receipt.

Add a rate

  1. Open Settings → Currencies & rates and press "Add rate".
  2. In "Foreign currency", type the 3-letter code, for example USD. The base currency is filled in for you.
  3. In "1 USD =", type how many units of your base currency one unit is worth, for example the LKR value of one dollar.
  4. Choose "Valid from": the date the rate applies from. Entering the same date again replaces that day's rate.
  5. Optionally note the "Source", for example CBSL or a bank quote.
  6. Press "Save rate".

Reading the list

Rates are grouped by pair, such as USD→LKR. The rate in use today is marked "current"; a rate with a later start date is "future"; older rates are "superseded".

"New rate" on a row adds the next rate for that pair. "Delete" removes a rate: documents that already used it keep their copy, and new documents fall back to the previous rate.
