Inviting an employee to sign in

Give a member of staff their own login so they can clock in from their phone, ask for leave and see their payslips.

Who can do this: Needs both manage people and manage users (TenantAdmin by default).

Why invite someone

A person does not need a login to be on your books or to clock in on the till. But with a login linked to their record they can use My space: clock in and out from their own phone or computer, see their shifts and hours, ask for leave, keep their contact details up to date and open their payslips.

Send the invitation

They receive an e-mail with a temporary password and choose their own the first time they sign in. The login is linked to the record straight away, so their time, leave and payslips follow them.

  1. Go to People → Employees and press View on the person.
  2. In the Login section, press Invite to sign in. The button appears only for active people who have no login linked yet.
  3. Check the E-mail. It is filled from the record if you entered one.
  4. Choose the Role. Employee sees only their own space. Choose Cashier or StoreManager if they also sell or manage.
  5. Press Send invitation.

A new login counts towards your plan's user limit, and an e-mail already used by another login is refused.

Link a login that already exists

Cashiers usually already have a login. Instead of inviting them again, open their record and choose it under Linked login. Linking lets their attendance and leave follow the person. Choose No login to unlink.

If a person sees 'not linked'

If someone opens My space and is told their login is not linked to an employee record, a manager needs to link it on their record under People → Employees.
