Give each person a clock-in PIN
A cashier with a linked login can clock in with their cashier PIN until they have a clock-in PIN of their own. Anyone on the books can have a PIN; they do not need a login.
- Go to People → Employees and press View on the person.
- In the Time clock section, type a Clock-in PIN of 4 to 6 digits (the box is called New clock-in PIN if they already have one). Repeated or sequential digits, such as 1111 or 1234, are refused.
- Press Set PIN (or Change PIN).
- Tell the person their PIN. It is not shown again.
- Remove PIN stops them clocking in with it. Their past times stay.
Clock in or out on the till
The PIN is checked on the till, so this also works when the internet is down; the time is sent when the till is back online. After too many wrong PINs the pad locks for a short while.
If Time clock does not appear in the menu, nobody at this till has a PIN yet, or the time clock is switched off under People → Leave → Holidays and working days.
- On the register, open the menu and choose Time clock (Clock in or out with your PIN).
- Pick your name. People of this store come first; if the list is long, use Find your name.
- Type your PIN.
- Press Clock in, or Clock out at the end of your day.
Clock in from your own phone or computer
Staff with a login can open People → My space and press Clock in or Clock out on the Today tab. The server's time is used, not the phone's. These times are marked Own device so a manager can tell them from the till. Pressing Clock in twice does not make a second record.
The business can switch this off under People → Leave → Holidays and working days.
Timesheets
A person's record under People → Employees has a Timesheet, and staff see the same under My space → My time. It shows two weeks at a time (use Earlier and Later): each day's first in, last out and hours, and every record behind it with how it was recorded: on the till, on own phone or computer, or by a manager. Days worked out from sales alone are marked From sales only.
Add what the till missed
A correction adds a new record with the reason. Nothing already recorded is changed or deleted. Corrected days are marked Corrected on the timesheet.
- Go to People → Rosters and find the person and day.
- Press the recorded times beneath the day, or the ⏱ button if nothing was recorded.
- Under What happened choose Arrived or Left, and enter the Time.
- Say Why it is being added by hand, for example Stayed to close up after the till was shut.
- Press Record.
