Set up your online shop

Give your shop a name and a web address, add your contact details and policies, and follow the "Ready to sell?" checklist.

Who can do this: The owner (administrator role) by default, or anyone whose role has been given permission to manage the online shop.

What the online shop is

The online shop is a public web page where customers can browse your products, put them in a basket and place an order. It sells from the same stock as your till, and it uses the prices, photos and tax from your catalogue, so you only keep them up to date in one place.

Nothing is public until you mark the shop ready to sell. You can set everything up first, at your own pace.

Create the shop

The settings screen has four tabs: Shop details, Contact, Delivery and payment, and Policies. The Delivery and payment tab appears only after the first save.

  1. In the menu, open Online shop → Shop settings.
  2. On the Shop details tab, type your Shop name, for example the name on your signboard.
  3. Type a Web address. This is the part of the link that is yours. Use letters, numbers and hyphens, for example perera-hardware. It needs at least three characters.
  4. Optionally add a Tagline (one line under your name) and About the shop (two or three sentences about what you sell).
  5. Press Save. You will see "Shop saved".

If a required field is missing, the screen jumps back to the Shop details tab and shows the message under the field.

Add your contact details

Customers need a way to reach you. At least one of Phone, WhatsApp or E-mail is needed before the shop can open.

  1. Open the Contact tab.
  2. Fill in Phone, WhatsApp and E-mail, as many as you use.
  3. Add your Address. If you offer collection from the shop, this is the address the order shows.
  4. Check the Country. This is where the shop is registered for tax. Orders delivered to any other country are treated as zero-rated exports, so no VAT is charged on them.
  5. Press Save.

Write your policies

The Policies tab has two boxes, Delivery and Returns. Customers see them on your shop. Plain sentences are fine, and each box shows an example.

  1. Open the Policies tab.
  2. Write how and when you deliver in the Delivery box.
  3. Write what can be returned, and for how long, in the Returns box.
  4. Press Save.

"Changes not saved yet" next to the Save button means you have typed something that is not saved. Press Save before you leave the page.

Your shop link

After the first save, the page shows Your shop link. Press Copy link to copy it. Once the shop is open you can also press Open shop to see it as a customer does, and share the link on your WhatsApp and Facebook pages.

The "Ready to sell?" checklist

Near the top of the page, "Ready to sell?" lists the five things a shop needs before a customer can order: A name and a web address, A way for customers to reach you, Products on sale, Where orders are sent from, and At least one way to pay.

Each item that is not done has a button that takes you to the right place. A tab with something missing shows a small dot. When all five are done, you can open the shop.
