One stock for the till and the shop
The shop sells from the stock of the store or warehouse you chose in Orders are sent from. There is no separate online stock.
When a customer places an order, the items are held for that order. Held items cannot be sold again online, so the same item is not sold twice.
At the till, product tiles show how many items are held online, for example "2 held online".
When stock moves
Order placed: the items are held, but they are still on your shelf.
Order sent: the stock leaves the shelf and the hold ends.
Order cancelled, or a bank transfer not paid in time: the hold ends and the items are available again.
Refund with Put the goods back into stock ticked: the returned items go back into stock.
Order ready for collection: the items stay held and on your shelf. Order collected: the stock leaves the shelf and the hold ends.
How online sales reach Finance
You do not need to enter online sales by hand. Nothing is booked when an order is placed or confirmed. The sale is booked when you press Send it: the revenue, VAT, delivery income and cost of the goods.
For cash on delivery, the money is recorded as held by the courier until you press Mark delivered, then it counts as cash.
For bank transfer, recording the payment books the money as a customer deposit until the order is sent.
Refunds are booked too, on the same online channel.
For orders collected from the shop, the sale is booked when you press Collected, and cash taken at the counter counts as cash straight away.
See online sales in your reports
- Open Finance → Reports and choose Profit & loss.
- Under View, choose Split by sales channel.
- The report shows a column for Counter, a column for Online shop, and a Total.
Lines booked by hand, and anything booked before sales channels existed, show as unattributed.
