Tax rules (VAT)

Set up VAT and other tax rates once, choose whether your prices include the tax, and link each product to its rule.

Who can do this: Everyone can see tax rules. Creating and changing them needs the Manage catalog permission (Tenant admin and Store manager by default).

What a tax rule is

A tax rule is a named rate, for example VAT 18%. Each product points to one tax rule, and the till uses it to work out the tax on every sale.

A rule is either Tax inclusive (the shelf price already includes the tax) or Tax exclusive (the tax is added on top of the price).

Rates change from time to time. Check the current rates with your accountant and update your rules when they change.

Create a tax rule

  1. Open Catalog → Tax rules and click New tax rule.
  2. Type a Name that people will recognise, for example VAT 18%.
  3. Type the Rate (%). For example, type 18 for 18 %.
  4. Tick Prices include this tax if your selling prices already include it.
  5. Tick Default tax rule for new products if most of your products use this rate. New products then start with this rule selected.
  6. Click Create tax rule.

For items that carry no VAT, make a rule with a rate of 0 and a clear name, so it is obvious on each product which rule applies.

Change or archive a tax rule

  1. Click a rule in the list to change it, then click Save changes.
  2. Click Archive on a rule you no longer use and confirm.

Link products to a rule

Choose the Tax rule when you create or edit a product, or fill the tax_rule column in a CSV import with the rule's exact name.
