Find a sale
- In the back office, go to Point of sale → Sales.
- Sales are listed newest first, with the Receipt number, When, Items, Total, Paid by and status.
- To see one store only, pick it in the location filter at the top. Choose All locations to see every store.
- Click a sale to open it.
What a sale shows
The sale window lists each line with the Qty, Unit price, Discount, Total and how many were Returned. Below are the Subtotal, any Order discount, the Tax (incl.) and the Total, followed by each payment with its reference and the change given.
The status is completed, partially returned, returned or voided. A voided sale also shows the reason.
Void a sale
Voiding cancels a sale completely, for example when it was rung up twice. It reverses the stock movement, so the goods count as back on the shelf. It does not pay any money back: give any refund at the till. For a customer bringing goods back, use a return at the till instead.
Voiding needs the Void sales permission. Out of the box, the TenantAdmin and StoreManager roles have it and the Cashier role does not. Without it, the sale window says so instead of offering the void.
Only a sale with the status completed can be voided. A sale that already has returns cannot: money has already been given back on it, so the sale window says so. Refund the remaining items at the till instead.
- Open the sale in Point of sale → Sales.
- In Void this sale (reason), type why, for example duplicate scan. At least 3 characters are needed.
- Click Void sale.
- Confirm Void sale. This cannot be undone.
Voids are shown on the shift's cash-up, and unusual numbers of voids per cashier are flagged under Insights → Loss prevention.
Void a sale at the till
A sale from today can also be voided at the till, for example straight after it was rung up twice. The till checks first: if the person at the till may not void, it says Voids need a manager, and a manager switches in with their PIN (Switch cashier) to do it. A sale with returns cannot be voided, and the till says so.
Voiding needs a connection, and the sale must have reached the server; the till says so if either is missing.
- At the till, open Orders (F9) and find the receipt under Completed today.
- Tap Void on its row.
- Type the Reason, for example rang up twice, and tap Void sale.
- Give any money back from the drawer. The receipt now shows voided.
Shifts and Z reports
The Difference is the counted cash minus the expected cash. Short, in red, means less cash than expected; Over, in amber, means more; Balanced means they match. A shift still in progress shows Open and has no Z report yet.
The figures are the Z report's: the sales count leaves voided sales out, and the net sales are after refunds.
- In the back office, go to Point of sale → Shifts.
- Shifts are listed newest first, with the register and shift number, when it was opened and closed, the cashiers, the opening float, the expected and counted cash, the Difference, the number of sales and the net sales.
- To narrow the list, pick a Register, or dates in Opened from and Opened to. Clear filters shows every shift again.
- Click a closed shift to open its Z report, and click Print to print it.
